FilecabinetGuide

The following guide will explain the function of the File Cabinet module and how to use it.

What is the File Cabinet?

The File Cabinet is the place on your website where you can upload images, documents and multimedia files that you want to distribute to visitors to your site. You can quickly and easily add new files to your File Cabinet as well as sort them into different folders and categories and files uploaded by others can be sorted into the correct folder and category by you via the File Cabinet.

How do you use the File Cabinet?

To use the File Cabinet, start by going to the Administration tab in your Control Panel. Once you are in your Administration tab, click on the File Cabinet icon.

Now that you are in the File Cabinet, the first tab you should be on is the Image Folder. The first step to uploading and sorting images for use on your site is to create a new image folder. Select 'Add folder' and then you will be asked for a folder name and a description and whether to make the folder private or public. Once you are done, click Create Folder. And once you have created a folder, click on it to go to the folder to add images.

Once you are in the image folder, can add, edit, or clip images. To add, you simply have to select Add image and then browse your computer to find the desired image. Then add a description and click Add image. Editing an image will allow you to rename it, change it's description, or resize it. The final option is to delete images you no longer want or need.

The next tab is the Document Folders tab. This tab will allow you to add folders that you can then upload text files to. You have the same sort of options as with the Image Folders tab. The process of adding a folder is the exact same and the process of uploading a document is also the same as uploading an image. You are also able to edit and delete documents and folders just like with the Image Folders tab.

The third tab is the Multimedia Folders tab. This tab is for creating folders for files such as music and videos. Adding folders and files is the same as in the Document and Image Folders tabs and all the same functions of adding, deleting and editing are available.

The next tab is the Classify tab. In this tab you are able to classify files that are uploaded to your website but are not put in a specific area or folder so that they will be easier to find later.

The next tab is the Settings tab. Here you have many options for modifying your File Cabinet. You can modify the maximum size of documents, and how many will be pinned to your home page. (Note: 0 will pin all uploaded documents.) Most of the image options are to change the size of images that are uploaded or to make it so that images are resized when they are uploaded and are larger then a certain size. The last few options are for changing the size allowed for multimedia files and for changing the directly for unclassified files.

The final tab is the File Types tab. Here you can select which file types will be accepted as images, media, and finally as documents. There are different file types for images, media and documents and you can select which formats your site will allow to be used and uploaded for other users to access.

That is how to use the file cabinet.

Permissions

All modules have a set of permissions that can be set to allow a user/user group or users/user groups to have different access to each module. These options are available through the User Administration module and you can learn more about permissions in the Permissions Guide. The File Cabinet module allows you to give users none, restricted or unrestricted permission. If users are given unrestricted permission, they will be able to have full access to the module the same as you do as the site administrator. If they are given no permission, they will not be able to modify the module. Restricted access will give them limited access to somethings and usually requires approval from an admin before their changes are accepted. You can give permission to edit folders and for unrestricted users only, you can choose to give them additional power to delete folders, change settings and/or classify files.
